 Welcome to our Summer Camp 2024! As a camp leader, your role is vital in ensuring the safety, well-being, and positive experience of every child under your care. Please review the following guidelines and responsibilities to maintain a safe and nurturing environment throughout the camp. These guidelines outline essential practices and responsibilities to uphold during camp activities. By adhering to these standards, you contribute to creating a nurturing environment where children can learn, grow, and have fun safely.

  1. Communication

  • Briefings

    We will hold briefings at the beginning or end of each day to discuss plans, review safety protocols, and address any concerns or updates that may impact the day's activities.

  • Communication Devices

    All leaders must have a communication device for quick and efficient communication in case of emergencies or operational needs.

  • Parental Communication

    Keep parents informed about their child’s day, including any incidents, achievements, or any issues that may arise. Clear and transparent communication helps build trust and reassurance among parents about their child’s well-being at camp.

  • Record Keeping

    Maintain accurate records of communications with parents, including incident reports, daily updates, and any agreements or permissions received.

  • Accessible Communication

    Ensure communications are accessible and inclusive by accommodating language preferences or translation needs of parents, campers, and co-workers.

  • Professional Standards

    Uphold professional standards in all communications with parents, demonstrating respect, empathy, and attentiveness.

2. Supervision

  • Continuous Supervision

    Always maintain continuous supervision over students under your care during camp activities. Ensure that students are closely monitored to promote their safety and well-being throughout the day.

  • Proximity:

    Stay within proximity to students during activities, ensuring quick access to aid or intervene in case of any need or emergency. Avoid leaving students unattended or unsupervised at any time.

  • Buddy System

    Implement a buddy system where feasible, pairing students to enhance mutual supervision and support. Encourage students to stay together and look out for each other during group activities or transitions.

  • Vigilance

    Remain vigilant and attentive to your surroundings, identifying any potential hazards or risks that may affect student safety. Address and mitigate risks promptly to maintain a secure camp environment.

  • Behavioral Guidance

    Provide positive behavioral guidance and reinforcement to students, promoting respect, cooperation, and inclusivity among peers. Intervene promptly to address any behavioral issues and encourage a supportive camp atmosphere.

  • Coordination

    Coordinate with fellow camp leaders and staff to ensure comprehensive supervision coverage across all camp activities. Communicate effectively and collaborate to uphold consistent supervision standards and practices.

  • Documentation

    Document incidents, observations, and interventions related to student supervision in accordance with camp policies. Report any incidents or concerns to appropriate camp management or designated personnel promptly and accurately. Report any behavioral issues at the end of your shift. Provide a summary of what went right and what went wrong during the day.

3. Safety and First Aid

  • First Aid Kit

    Familiarize yourself with the precise location and contents of the camp’s first aid kit. Ensure it is always readily accessible during camp activities. Be prepared to administer basic first aid as needed and seek additional medical assistance when required.

  • Emergency Exits

    Know the layout of the campsite, including the locations of emergency exits and evacuation routes. In the event of an emergency, guide students to safety using designated evacuation paths and assembly points. Practice emergency drills regularly to ensure preparedness and swift response.

  • Headcounts

    Conduct headcounts systematically and frequently, particularly during transitions between activities or when moving between indoor and outdoor spaces. Verify the presence and well-being of all students under your supervision to prevent incidents of accidental separation or unaccounted individuals.

  • Medical Records

    Maintain up-to-date records of any allergies, medical conditions, or special health needs among students. Ensure appropriate accommodations are in place to manage these conditions effectively during camp activities. Communicate relevant information to camp staff and volunteers to promote a safe and supportive environment for all participants.

  • Hygiene Practices

    Promote good hygiene practices among students, emphasizing regular handwashing before meals, after restroom use, and as necessary throughout the day. Ensure that eating areas, activity spaces, and restroom facilities are clean, sanitized, and conducive to maintaining health and hygiene standards.

  • Vigilant Supervision

4. Support

  • Approachability

    Always be approachable and ready to assist children when they approach you with questions, concerns, or needs. Provide clear instructions, encouragement, and support to ensure their comfort and well-being during camp activities.

  • Escalation

    If a situation arises that is beyond your expertise or authority to handle, promptly notify the camp facilitator or designated supervisor. Maintain open communication to seek guidance, coordinate solutions, and ensure appropriate actions are taken to address the issue effectively.

  • Empathy

    Demonstrate empathy and understanding towards children’s emotions and challenges they may encounter during camp activities. Foster a supportive environment where children feel valued, respected, and encouraged to express themselves confidently.

  • Conflict Resolution

    Employ effective conflict resolution techniques to manage disputes or disagreements among children, promoting a harmonious and cooperative atmosphere. Encourage positive communication, compromise, and mutual respect among camp participants to enhance their overall experience.

5. Bathroom Supervision

    If you are assigned to monitor children for bathroom breaks, monitor from a distance while they use the bathroom, maintaining visual contact and discreet supervision to ensure children return promptly to their designated activities after restroom breaks.

  • Safety Emphasis

    Emphasize the importance of safety and timely return to class after bathroom visits.

  • Emergency Response

    Respond promptly to any emergencies or incidents that may occur in or near the bathroom facilities. Review emergency procedures and protocols regularly to maintain readiness and ensure the safety of all camp participants.

  • Privacy and Dignity

    Ensure a child’s dignity if there is any bathroom accident. Promote a culture of privacy and respect for children’s personal space during bathroom use. Counselors should uphold confidentiality and sensitivity in their supervision approach to foster a comfortable and secure environment for all campers.

6. Identification

  • Name Tag

    Always wear your designated name tag visibly during camp hours. This ensures easy identification for both camp participants and fellow staff members.   • Replacement Protocol

    Promptly inform camp management for a replacement to maintain continuous identification and operational efficiency.

7. Breaks

  • Scheduled Breaks

    Before taking a break, inform your team members to ensure seamless coverage of responsibilities and activities.

    While on break, leaders should remain vigilant about children's activities and safety, ensuring they are supervised by another qualified staff member.

  • Break Areas

    Leaders are encouraged to take breaks in designated break areas away from children’s activities to maintain a professional and focused environment.

  • Efficient Management

    Leaders should manage their break time efficiently to return promptly and resume their responsibilities on time.

8. Conduct

  • Respectful Interaction

    Interact with children in a respectful, friendly, and supportive manner always. Use positive reinforcement and encouragement to build rapport and foster a safe environment.

  • No Harsh Language

    Do not yell or use harsh language with children. Use calm and constructive communication to address behavior or provide instructions.

  • Personal Connection

    Address children by their names to create a personal connection and acknowledge their individuality. Avoid labeling children negatively (e.g., "bad" or "stubborn"), as this can impact their self-esteem and behavior.

  • Positive Guidance

    Guide children's behavior positively by setting clear expectations and modeling appropriate conduct. Redirect behavior with patience and understanding rather than criticism.

  • Conflict Management

    Approach conflicts or behavioral challenges calmly and objectively. Seek assistance from senior staff or the camp facilitator if a situation requires additional support or intervention beyond your scope.

9. Use of Cellphones

    Use your cellphone only during designated breaks and in case of emergencies. Prioritize camper supervision and engagement over personal phone use to maintain a safe and attentive environment.

  • Accessibility

    Ensure your phone is readily accessible for emergency communication purposes. Familiarize yourself with emergency procedures and contact numbers to respond promptly to any urgent situations.

  • Responsible Example

    Lead by example in adhering to camp policies regarding cellphone use. Demonstrate responsible behavior to set a positive example for campers and uphold the camp's standards of conduct.

  • Photos and Media

    Do not take photos or videos of children on personal phones. Use only authorized camp equipment for any media needs, ensuring compliance with privacy and safety regulations. Obtain parental consent for any photographs or recordings made during camp activities.

10. Dress Code

  • Appropriate Attire

    Dress appropriately for active participation in both indoor and outdoor activities. This includes comfortable, weather-appropriate clothing and closed-toe shoes suitable for various camp activities.

    Always maintain a respectful and professional appearance. Avoid clothing with inappropriate graphics or language to uphold the camp's standards and set a positive example for campers.

  • Weather Preparedness

    Be prepared for changing weather conditions by having layers or additional clothing options available. Ensure that you are equipped for both hot and cold weather to stay comfortable and focused on your duties.

11. Language and Behavior
